Privacy Policy

Information We Collect

We collect information you provide directly and data generated through your use of the service.

Account Information

Your email address and name, collected at signup.

HVAC System Data

System names, locations, refrigerant types, charge weights, and installation dates you enter for each tracked system.

Service Records

Service dates, technician names, EPA 608 certification numbers, refrigerant amounts added and recovered, and leak check results entered for each service event.

Compliance Reports

Reports and compliance scores generated from your system and service data.

Usage Data

Pages visited, features used, and device information collected to help us improve the service.

How We Use Your Information

  • Calculate leak rates and compliance status for your systems
  • Generate EPA Section 608 compliance reports on your behalf
  • Send alerts when systems approach or exceed leak rate thresholds or repair deadlines
  • Improve the accuracy, reliability, and usability of the service
  • Communicate with you about your account, billing, and service updates

EPA Compliance Data Handling

We treat your compliance data with the same rigor the EPA expects for record-keeping.

  • Service records and compliance data are stored in encrypted databases (Supabase, AES-256 at rest)
  • Data is retained for a minimum of 3 years per EPA Section 608 record-keeping requirements
  • You can export your complete compliance data at any time from account settings
  • We do not sell, share, or monetize your HVAC system data or service records

Technician Information

EPA 608 certification numbers entered for technicians are stored solely to support your compliance tracking records. We do not verify certifications against EPA databases, and we do not share this information with third parties, including the EPA.

Data Sharing

We do not sell your personal information or compliance data. We share data only with the following service providers who process it on our behalf:

  • Supabase — database hosting and authentication
  • Stripe — payment processing for paid subscriptions
  • SendGrid — transactional and alert email delivery

We may also disclose data if required by law, legal process, or to protect the rights, safety, or property of RefrigerantTrack or others.

Data Security

We use industry-standard encryption in transit (TLS) and at rest (AES-256), secure authentication with token-based sessions, and conduct regular security reviews. No method of transmission or storage is 100% secure; we cannot guarantee absolute security, but we take it seriously.

Your Rights

You have the right to access, correct, and delete your personal information. You can export your complete compliance records from account settings at any time. To delete your account and associated data, go to account settings or contact us at support@refrigeranttrack.com. Note that EPA-required records are retained for a minimum of 3 years per applicable regulations.

Cookies

We use session cookies required for authentication and to keep you logged in. We do not use third-party tracking cookies or advertising cookies.

Children's Privacy

RefrigerantTrack is not directed at children under 13 and we do not knowingly collect personal information from anyone under 13. If you believe a minor has provided us with personal information, contact us and we will delete it promptly.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date at the top of this page. Your continued use of RefrigerantTrack after changes are posted constitutes your acceptance of the updated policy.
